Dear Spark members,Here are the suggestions given by our GE Afra Tan on May 10. I hope we can keep improving our meeting quality based on the comments given by the GE from each meeting. :)
Afra's comments are in black, and mine in blue. Or if you have any suggestions, please feel free to let me know.1. We should have delegated tasks/assignments to more members, so that members didn't have to multi-task.(1) The President Tiffany also helped operate the projector/screen and count the ballots.(2) The IPP Jenny was the reception, the photographer, and also the IE.(3) David Chang did both the vote counter's briefing and also the language evaluation.Possible solutions:We need more members to attend the meeting, so that no one needs to multitask. Also, it would be better if speakers who need to use PPT can ask a specific member to help operate the projector/screen. Or everyone sitting in the front can help. (I don't mind doing it at all, but I seem to walk around during the meeting a lot.)p.s. Since it was a special meeting, i.e. a reunion, I didn't ask our special guests to help take a meeting role.2. We needed to improve our time control.(1) The meeting was 5 minutes late.(2) During the guest introduction, guests should also learn to control their time.(3) The Intermission took more than the allotted 10 minutes.Possible solutions:(1) We need more members to arrive on time, especially the assignment takers. (In fact, I feel we've been making some progress already in this regard. I really appreciate those members who make efforts to show up on time. Thank you!!!)(2) I'll consider using a timer during the guest introduction as well. What do you think?3. When explaining the timing rules, the timer should raise the flags and show them to the audience.4. In the The Table Topics Session, the master should read the question out loud to everyone before calling on a member.
